Job Description:
Coordinate the flow of information within the team
Direct and control daily operations
Evaluate daily operations
Motivate staff
Open and distribute mail and other materials
Plan and organize daily operations
Record and prepare minutes of meetings, seminars and conferences
Schedule and confirm appointments
Answer telephone and relay telephone calls and messages
Answer electronic enquiries
Oversee the preparation of reports
Respond to employee questions and complaints
Order office supplies and maintain inventory
Greet people and direct them to contacts or service areas
Set up and maintain manual and computerized information filing systems
Type and proofread correspondence, forms and other documents
Perform data entry
Provide customer service
Maintain and manage digital database
Perform basic bookkeeping tasks
Work with accounting department to provide information regarding suppliers’ invoices listed for payment and customer invoices paid
Requirements:
Education: Completion of high school is required.
Experience: A minimum of 1 year of clerical experience is required. If the candidate does not have experience, then, the completion of a one- or two-year college or other program for administrative assistants or secretaries is required.
Previous experience in administrative positions in the construction industry is a strong asset.

Computer and technology knowledge: Google Docs, Sage Accounting Software, MS Excel, MS Outlook, MS PowerPoint, MS Windows, MS Word, SharePoint, MS Office, Simply Accounting, Adobe Acrobat Reader, Electronic mail.
Personal suitability: Ability to multitask, Excellent oral and written communication, Flexibility, Judgement, Organized, Team player, Accurate, Client focus, Reliability, Time management, Adaptability, Accountability, Dependability, Due diligence, Quick learner.
Language: English is required.
Spanish language skills are a strong asset.
Salary: $34.07 hourly, 35 hours per week.

Occasional overtime work may be required based on the business needs.
